How Fleet Trace works

Fleet Trace turns each vehicle handover and return into one dated report. This page follows a rental from the counter to a possible insurance claim.

At departure: the agent follows the guided photos

The agent opens the Android app, picks the vehicle and enters the renter. The app walks through up to 20 photos in a fixed order, with an outline for each angle. A required photo can't be skipped, and a warning flags blurry or dark images. Existing damage is marked on the vehicle plan with a type, a severity and a photo.

Signatures close the handover

The renter and the agent both sign on the device. Mileage, fuel level and cleanliness are recorded in the same report.

Every time comes from the server

Dates and times are set by the server, never by the phone, so they can't be changed by editing a device clock. Once a report is closed it can't be edited, and the audit log only accepts additions.

At return: same report, same photo order

The agent repeats the photos in the same order. Departure and return photos can be compared side by side, and new damage is flagged. With no signal, for example in an underground car park, the work carries on and everything uploads when the network is back, without duplicates.

After the rental: PDF and claim file

When the report closes, the renter receives a PDF with your logo by e-mail. If there is damage, a claim file gathers the report, the estimate, the attachments and the status, and produces a PDF for the insurer. Administrators can export reports and lists to PDF or Excel.
