The vehicle condition report for rental companies
A practical guide to the vehicle condition report, also called an inspection report or état des lieux in French: what it is, what to record and how to avoid disputes.
What is a vehicle condition report?
It is the document that records the state of a vehicle when it leaves the rental company and when it comes back. Comparing the two is how a company and a renter settle whether damage happened during the rental.
What to record at departure and return
The date and time, the mileage, the fuel level, the cleanliness, every existing damage with its location, type and severity, and photos of the vehicle from all angles. Both the renter and the agent should sign.
Why paper reports lead to disputes
Sheets get lost, photos stay buried in a phone, nothing is reliably dated, and "it was already scratched at pickup" can't be settled. Tick boxes are also re-typed at the office, which adds errors.
How to make a report hold up
Use the same photo order at departure and return so the two can be compared. Take dates and times from a server rather than a phone. Close the report so it can't be edited afterwards, and keep an audit log of every action. How much weight a report carries depends on local law and on your rental contract, so ask a lawyer if you need certainty.
What to do when there is damage
Keep the departure report, the return report and the photos together with the repair estimate and any supporting documents, and send the insurer a single file. In Fleet Trace this is a claim file that tracks the estimate, the attachments and the status.
